The Challenge
At the bustling office location of a major corporation with a workforce of 4000 employees faced a significant challenge. With only 2000 lockers available, there was a concern that locker capacity could be quickly reached. The company preferred not to adopt a hot locker system, aiming instead for employees to have permanent locker assignments. The potential for locker shortages and the administrative burden of managing locker allocation was considerable.
Employees could easily reserve lockers through a user-friendly app interface, streamlining the assignment process and removing the need for manual intervention.
In anticipation of reaching full capacity, the system also provided for the creation of team or shared lockers. This flexibility ensured that locker availability could be dynamically managed according to demand.
To ensure optimal utilization of locker resources, Yellowbox’s system implemented automated “camping” emails. These notices were systematically sent to users who hadn’t used their lockers for 2 weeks, escalating in urgency over time. If a locker remained unused for 4 weeks, facility managers could then reassign it. This approach significantly reduced the administrative load, potentially saving up to 300.
Innovatively, Yellowbox lockers were also utilized in parcel delivery mode within the office’s mailroom. Deliverers could deposit parcels into a locker, triggered by a kiosk, which then automatically notified the recipient via email to pick up. This feature massively streamlined parcel management and eliminated the need for manual sorting and distribution.
